Mitsubishi Electric transforms previously manual email order entry into a controlled, AI-assisted process that extends all the way into SAP S/4HANA. The SEEBURGER Integrator Workspace (IWS) orchestrates AI services, process logic, and SAP integration, while the ERP add-on ensures business review and creates a transparent, adaptable, and scalable foundation for further automation.
Initial situation: manual order entry from emails and PDFs
Mitsubishi Electric receives customer orders by email. Depending on the customer, the order data is contained in the email body, a PDF attachment, or split across both sources.
Before the project, employees reviewed each order individually, matched customer and item numbers, and manually entered the data into SAP S/4HANA.
The time and effort involved slowed order intake. The business department therefore initiated the project to modernize order processing, reduce manual steps, and improve response times.
Challenge: unstructured input data and the need for SAP control
Email-based orders are difficult to automate because they do not follow a consistent structure. Relevant information may appear in different places, in different formats, and with varying levels of completeness.
Mitsubishi Electric needed to make unstructured order data usable in SAP without losing control over business-critical postings. At the same time, the end-to-end process needed to be transparent, maintainable, and transferable to additional business units.
Why SEEBURGER: IWS turns AI-based extraction into a controllable business process
The business department Living Environment Systems worked with a development partner to create an AI-based approach for automatically extracting order data from emails and documents. This established an important foundation for modernizing order intake.
For Mitsubishi Electric IT, however, a point-to-point connection between the AI application and SAP was not enough. The end-to-end process needed to be transparent, monitorable, adaptable, and scalable to additional business units and use cases.
The SEEBURGER Integrator Workspace takes on this role. IWS maps the overarching process logic, integrates the AI services, controls execution, and enables centralized monitoring. At the same time, IWS transfers the structured order data into the SAP process in a controlled manner.
The SEEBURGER ERP add-on for Order-to-Cash adds a business review step before final posting. This allows Mitsubishi Electric to combine AI-assisted automation with the transparency, traceability, and control required in a business-critical SAP process.

The new workflow connects the mailbox, AI services, SEEBURGER IWS, the SEEBURGER ERP add-on, and SAP S/4HANA in one end-to-end process.
Results and business value: faster order intake with controlled SAP posting
With the new workflow, business users no longer have to enter all order data manually in SAP S/4HANA. Instead, they focus on reviewing, correcting, and approving the already structured information.
This reduces manual process steps and supports faster customer order processing. At the same time, IWS gives IT a central, transparent process layer for orchestration, monitoring, and controlled SAP integration.
Instead of a point-to-point connection between the AI application and the ERP system, Mitsubishi Electric now has a reusable control framework. Processes can be adapted as needed and extended to additional business units or document-based use cases.

Vision: scaling the approach to additional workflows
Mitsubishi Electric plans to continue developing the IWS workflow step by step. Future enhancements are intended to handle deviations from the standard process more precisely and integrate additional functional components, for example, to verify item numbers.
In addition, the approach is to be made available to further business units. Related document-based use cases are also being evaluated, including ingesting and pre-coding incoming invoices. This could also simplify and accelerate statistical analysis in the future.
With centralized orchestration in IWS, Mitsubishi Electric is creating a foundation for integrating additional AI-assisted processes into its existing ERP landscape in a controlled manner. SEEBURGER will support the phased expansion as a long-term integration partner.
